TimeControl

Powerful system for comprehensive company data collection and extensive access control

With Baudisch.TimeControl, you have an efficient system for collecting and analyzing operational data.

Access control and time recording are supplemented by valuable modules of transparency in the timing of processes within a company.

Manage time studies and vacations or assign the times of orders and projects accordlingly on the minute with the TimeControl.

Monitor the costs of a contract / project real time using the project evaluations or obtain the data for the calculation of cost / benefit ratio of your machines.

Furthermore, the Baudisch.TimeControl meets all the requirements of a modern midsize or large company for a comprehensive solution for access control and building automation.

Up to 1,000 people and 50 companies can be collected, managed and displayed.

Baudisch.TimeControl is a client server solution.

The server installation can be made on a "normal PC", which is located as a workplace within the usual corporate network ( Windows, Novell ). However, for safety reasons it is advisable not to run any other programs ( e.g. office applications ) on this computer.

The server PC is connected via a data bus system ( EasyLan data bus ) with chip readers, door openers etc..

Each data collection run in real time and online. Chip readers report immediately their data to the server, which then checks the authorisation and activates the corresponding door opener which is installed as a relay switch module on the data bus. Working hours are posted accordingly.

A personal login in a given authorisation class is available for every single employee on a client installation which can be installed on each workstation in the corporate network.

Time recording

No expensive data collection terminal for the time recording has to be installed in hallways or entrances, which operation must be taught separately usually with considerable effort. It is enough with the installation of simple transponder readers which can be integrated into any standard switch program. Sign-in and sign-out of the individual employees is done by a transponder chip and two separate readers, which can be applied if necessary at multiple locations in the building ( such as various doors ).

A recording is confirmed visually and acoustically. If required, additional readers are available for the recording of business trips. The convenient time recording allows the management of different working time models, core time, paid and unpaid overtime, flextime accounts, shift models and individual project times.

Included is:

  • the automatic and manual recording of all working and idle times such as vacation, sickness etc.
  • the recording of business trips, sign-in and sign-out, automatically per transponder chip and manually at every client
  • 25 working time models as basis for time analysis
  • the free entry of holidays
  • the evaluation of working hours and preparation for wage calculation
  • time reporting by day, month and year

Reporting and evaluation of job cards and projects

Orders and projects are generated in a separate list in the system and if applicable linked with fixed activities ( drilling, optical inspection ).

The recording of job cards and projects is made via the user interface and is designed so that each employee may assign his complete working hours to different orders / projects.

Every employee has a personal login to the system. With it, he may access his previously worked hours and assign them accordingly.

The working hours to be assigned are deducted from the total of hours worked. This way no more hours can be assigned than actually worked.

Simultaneously with the time allocation, fixed activities e.g. to commission, layout design etc. can be assigned to an order.

Thereby the possibility of incorrect entries is minimized.

Possibilities for the evaluation:

  • Cost and time evaluation of job cards for verification of effectiveness and real time controlling
  • Evaluation possibilities according to 4 different project hour rates
  • Evaluation according to activity keys
  • Evaluation according to groups of people
  • Evaluations of already closed orders and projects
  • Inquiry of current project status

Task list

Baudisch.TimeControl provides the ability to send specific tasks for a particular order to a single person, the ability to schedule them and to follow up.

These tasks can be confirmed as completed after processing.

Access control

  • Who is authorised, where and at what time
  • Configuration of any group formation of different employees
  • 16 free to be designed time windows ( timers ) for time constraint
  • Journal function

Facility management

Baudisch.TimeControl takes on various control functions for building services.

  • Arming the alarm system in accordance with collective attendance
  • Switching functions depending on the presence of a specific person
  • Switching functions depending on the presence of group members
  • Switching functions depending on the parking occupancy ( parking lot is full )
  • Switching functions depending on time windows ( timers e.g. light )

Baudisch.TimeControl offers the possibility to easily control various elements such as power outlets, light switches or lamps with the EasyLAN data bus system.

Such outputs can be linked with timers or the transponder chips of certain people.

Parking management

  • Control and opening of barriers depending on the parking occupancy
  • Manual administration and assignment of parking spaces
  • Reparking by mouse click
  • Viewing and printing the parking situation ( who parked where and since when)

Advantages of the system

  • Baudisch.TimeControl allows the real time controlling and the verification of effectiveness of projects and orders during the running time, because employees need to enter their time on an order for each completed activity. This makes working hours and production steps daily traceable.
  • An exact costing analysis of all orders is possible without difficulty due to the order-linked time recording. It is always traceable how a company makes or loses its money.
  • The total sum of the labour costs of an order can be evaluated with 4 different wage keys which are individually stored for each person.
  • Since the costs of an order / project can be verified in real time, orders may be stopped immediately if a budget is overrun or if the estimated time is reached. The invoicing of a sub-total is at any time possible based on proven production progress.
  • A project can always be evaluated and this evaluation can be handed over to customers. Together with a proof of a potential purchase of material, the customer becomes an understanding of the financial situation. Trust is created.
  • Production orders and projects can be processed simultaneously by several employees, because all orders have their own card in the system which everyone can access. Therefore, no orders are linked to job cards filled out by hand.
  • Fixed activities within an order can be entered. Incorrect entries will be minimized.
  • Additional free text entries permit the capture of specific notes ( e.g. only 30 parts produced instead of 50 ).
  • Machines can be linked to the system and the time recording via a separate switch module. The running times of the machines can be evaluated which means an optimal calculation of the cost / effectiveness ratio.
  • Process improvements are possible: the most productive employee permanently takes over specific activities since an order evaluation can be made either based on order or activity key.

Why Baudisch.ControlSeries?

There are many systems for access control and time recording - ranging from classic cylinder locks or time clocks to sophisticated and complex electronic systems. Depending on the design, but nearly all construction-conventional systems have disadvantages. Complicated operation, error rate and lack of comfort have been the main problems.

Many reasons, therefore, to choose a systems where all requirements are fulfilled. Reliability, ease to use, convenient expandability and easy installation are important characteristics that must be met. Reasons that speak for a solution from the Baudisch.ControlSeries.

There is a simpler way...

Compared with standard procedures for time recording and access control based on PIN numbers, data collection terminals, mechanical keys, chip and magnetic card readers, the used transponder technology from Baudisch offers a number of advantages.

The detection of a transponder is contact-free, which prevents wear on the transponder or reader. No PIN must be memorized, no contacts can contaminate or oxidize, stored information can not be erased by magnetic fields or made unusable.

The procedure

Each transponder is pre-programmed individually with its own key number. A transponder reader generates a weak magnetic field with a few cm range. Now, if a transponder is held in this magnetic field, the internally stored key number in the transponder chip is transmitted to the transponder reader. The transmission from transponder to transponder reader is via air. The reader records this number and reports it together with its own code to a central unit. This central unit collects working hours and decides further over the authorisation of the imported combination of "key" and "lock". Doors are opened or remain closed accordingly.

Depending on which system of the Baudisch.ControlSeries, these messages are also saved and can be evaluated as needed.

The communication

Readers, control and central units communicate over the Fieldbus "EasyLan," a product developed by Baudisch Electronic. Data is transferred in a specially encoded and secure digital process, so that manipulation is not possible.

The connection is made via three wires of a standard 2 communication cabel e.g. n x 2 x 0.6 mm J-Y(ST)Y and can be implemented with distances up to 1,000 meters between the individual components. The devices in the ControlSeries are compatible with each other. Thus, already connected components can continued to be used in a system upgrade.

Appropriate modules are available for the implementation of "EasyLan" to standard Ethernet, RS232 or USB. The integration of PC's or the networking of individual "EasyLan" bus segments is therefore easily possible.

Safety first

To open the door unauthorized by manipulation of the transponder reader is impossible. The code of the transponder is simply identified and forwarded.

The decision of authorisation access which opens the door is made in the central unit, which controls the electric door opener on a separate switch module. This switch module is a programmable two-channel relay unit. Since the central unit and switch module are located in the building, the system is protected against abuse.

Power outage

In such a case, the so-called "fallback level" comes into play. This term is referred to an emergency system, which ensures the implementation of the most important functions in case of main system failure i.e to open a locked door.

The working hours

The same components are used for the recording of working time as for the access control, i.e. transponder chip and transponder reader. For each type of working hour entry ( beginning hours, ending hours and business trip ), a separate transponder reader is installed and configured according to its function. The transponder for the door also serves the recording of the working hours.

The advantages

In case of loss of a conventional key, usually the associated lock or the complete system must be replaced. Apart from the time and effort, mostly it generates significant costs.

Unlike the series of systems of the Baudisch.ControlSeries: the authorisation of the chips can always be deleted without having to replace parts of the system. Also, authorisations of new transponders are entered in no time in case additional chips are needed or to replace lost ones. Deleted chips are rejected as unknown until they are reestablished.
No expensive data collection terminal for the time recording has to be installed in hallways or entrances, which operation must be taught separately usually with considerable effort. Depending on the system, each employee may retrieve his current data at any integrated PC in the system, which takes off a major burden from accounting.
